What information do we need?

We need survey information and supplementary correspondence associated with the carrying out of consultation activity. Survey data will be aggregated and anonymised for reporting.
Why we need this information?
Named public bodies have a legislative duty to produce equality outcomes. As public bodies, the council, education authority and licensing board must review these outcomes every four years. As part of this review, the council is consulting on behalf of the three named public bodies on equality outcomes for the period 2019 to 2023.
Your information is being collected for the following purpose:
- To enable us to understand people’s views with regards to the proposed equality outcomes.
As part of the consultation, we are carrying out a survey. This includes some questions which gather personal information and ‘special category’ information where you have opted to answer these questions as part of the survey.
The lawful basis for collecting your information in these circumstances is:
Public task – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the Council.
What we will do with your information?
The survey is being administered through Survey Monkey, with an alternative Word version of the questions available if you do not wish to respond using third party software.

We will take all reasonable steps to ensure that your data is kept securely and more information on how we do this can be requested from the Data Protection Officer.
We do not ask for names or contact details in the questionnaire. Where these are provided, for example via email correspondence, these will be separated from the survey responses at time of analysis. Data will be aggregated and anonymised as part of the analysis and reporting process.
How long will we keep your information?
We will keep your information for a maximum of 1 year. After this period it will be destroyed under secure arrangements if it is no longer required for the lawful purpose for which it was obtained. More information on our retention ·¬ÇÑÊÓƵapp and procedure can be obtained from the Data Protection Officer if required.
What other purposes would we like to use your information for?
Your information will not be used for any other purposes other than those already indicated.
Automated Decision Making
No automated decision making happens with this data.
Your Rights
When you provide information to the Council, you will have the following rights:
- to withdraw consent at any time, where the lawful basis specified above is consent
- to lodge a complaint with the Information Commissioner’s Office – see below for details
- to request access to your personal data – please contact the Data Protection Officer if you wish to submit a request.
- to data portability, where the Legal basis specified above is i) consent or ii) performance of a contract
- to request rectification or erasure of your personal data, as far as the legislation permits – please contact the Data Protection Officer and provide details of what data you wish to be rectified or erased.
